1. Who we are
Minerva is an nnLabs service providing on-demand engineering support, personal consulting, and agentic development workshops for AI founders using the Audos platform. In this policy, “Minerva,” “nnLabs,” “we,” and “us” refer to the Minerva service operated by nnLabs in Puerto Rico.
Minerva is responsible for the company-level information it independently collects and manages. Audos supplies the underlying platform infrastructure and acts as a data processor for platform-hosted activity. Audos’s own policies and AI model cards cover its platform-level processing.
2. Data we collect
- Booking and CRM details: your name and email address.
- Contact-line details: your phone number, only if you voluntarily provide it through the contact line.
- Session details: date, purchased tier, and your chosen delivery method—temporary workspace email access or a Google Meet call.
- Agentic Help member data: for paid $10/month members only, prompt history, error logs, AI run results, and related troubleshooting context stored in the private failure/prompt knowledge base. Free chat is stateless and does not build this database.
- Payment information: transaction status and related records needed to confirm service. Dodo Payments processes payment details. Minerva does not receive or store raw card numbers or card security codes.
- Basic technical data: session and analytics cookie data needed to keep the service working and understand basic usage.
3. How we use data
We use this information to:
- schedule, deliver, and follow up on booked sessions;
- send booking confirmations and service-related emails;
- provide knowledge-base-supported agent help to eligible paid members;
- verify payment and membership access;
- protect the service, troubleshoot failures, and improve service quality; and
- meet legal, accounting, and fraud-prevention obligations.
GDPR legal bases
Where the GDPR applies, we process data as needed to perform our contract with you, pursue legitimate interests such as securing and improving the service, comply with legal obligations, or act on consent where consent is the appropriate basis. You may withdraw consent at any time without affecting earlier lawful processing.
4. Data sharing and processors
We do not sell personal data, rent it, or disclose it for third parties’ independent advertising or marketing. We share only what is needed with service providers that help us run Minerva:
- Audos provides the underlying workspace, CRM, session, database, AI, and infrastructure processing used to deliver Minerva.
- Dodo Payments processes payments and associated payment data under its own terms and privacy practices. Minerva does not store raw card data.
- Google Meet may process information when you choose video-call delivery.
We may also disclose information when required by law, to protect legal rights, or to prevent fraud or abuse. Service providers may process data only for the relevant service and under their applicable contractual and legal obligations.
5. Retention
- Session records—including booking contact details, tier, date, delivery method, and related session records—are retained for 12 months after the session, unless you request deletion sooner and no legal exception requires continued retention.
- Paid-member prompt/error knowledge-base data is retained while the paid membership is active and for 30 days after cancellation, then deleted or anonymized unless law requires longer retention.
- Payment records held by Dodo Payments follow Dodo Payments’ retention and legal obligations. Minerva may retain limited transaction confirmations as required for accounting, tax, fraud prevention, or disputes.
We may retain a minimal record where needed to document a completed deletion request, enforce legal rights, or comply with law.
6. Your privacy rights
If the GDPR applies to you, you may request access to your personal data, correction of inaccurate data, erasure, restriction of processing, and data portability. You may also object to processing based on legitimate interests and withdraw consent where processing relies on consent.
Email your request to hello@ottoandminerva.com. We will respond within 30 days. We may need to verify your identity before fulfilling a request.
You may also lodge a complaint with the data-protection authority where you live, work, or believe a violation occurred. Rights can be limited where an applicable law requires or permits continued processing.
7. Cookies
Minerva uses basic session cookies needed for sign-in, security, service continuity, and preferences, plus limited analytics cookies used to understand service performance. We do not use advertising cookies or cross-site behavioral advertising cookies.
8. Security
We use reasonable administrative and technical safeguards and limit paid-member knowledge-base access to the applicable member session. No online system is risk-free, so we cannot guarantee absolute security.
9. International processing
Audos, Dodo Payments, Google, or other infrastructure providers may process data outside your country. Where required, the responsible provider or Minerva uses legally recognized safeguards for cross-border processing.
10. Policy updates
We may update this policy as the service or law changes. We will update the date above and provide appropriate notice for material changes. Continued use after an update takes effect means you accept the revised policy, to the extent permitted by law.
